Who are we?

The protection of your personal data is of the utmost importance to Inagro vzw. In this Privacy Policy, we describe the measures taken to guarantee the protection of your personal data in accordance with the General Data Protection Regulation (GDPR). With this explanation, we wish to clearly inform you about how we at Inagro vzw take care of your personal data, what personal data we collect from you and why Inagro vzw does this.

Inagro vzw, Ieperseweg 87 - 8800 Rumbeke-Beitem, with company number BE 0417.474.241, is the data controller of your personal data applicable or used in the various processes and systems within Inagro vzw.

As the data controller, Inagro vzw takes the necessary technical and organisational measures to protect your personal data. These measures apply to all systems, employees and processes that constitute the information systems of Inagro vzw.

Inagro vzw is an externalautonomous agency of the Province of West Flanders.

Activities of Inagro vzw

Inagro vzw is a research and advisory center for agriculture and horticulture. We provide scientifically based advice tailored to local farmers and horticulturists.

Inagro vzw guides farmers in their search for knowledge and innovation through practice-oriented research, training, demonstrations, and study days. Inagro vzw is the largest applied research center for agriculture and horticulture in Flanders. More than 200 expert employees work daily toward a better and more sustainable agricultural and horticultural sector.

What personal data do we collect?

"Personal data" refers to all information about an identified or identifiable natural person.

Inagro vzw collects and processes various personal data that may relate to you concerning the products and services Inagro vzw offers to its members, farmers, schools, partners, suppliers, participants, etc.

These categories of personal data include:

  • Identification data: such as surname, first name, agricultural registration number, address, phone and mobile number, email, national register number.
  • Business data: company name, company number, supplier data.
  • Financial and transaction data: bank account numbers, payments.
  • Electronic identification data: IP addresses, cookies.
  • Information about your personal interests in agriculture and horticulture sectors or topics.
  • Audio recordings, photos and images.

Inagro vzw also processes personal data for statistical research, but this data is anonymised. This means that we cannot trace this data back to individuals or persons. We cannot identify you on the basis of this data.

The personal data we collect is adequate and relevant for our purposes. We limit our collection of your personal data to the minimum amount necessary for the purposes for which we process the personal data.

How do we collect your data?

This can be performed in various ways, including:

  • Personal/telephone/email contact
  • Contact forms on our website
  • Contacts at seminars, networking events, study days, fairs
  • Contacts via our partners and government agencies
  • Social media

Why do we collect your data?

Inagro vzw requires this information to carry out its standard business operations and provide its services. In accordance with GDPR, this corresponds to either:

  • Legitimate interest
  • Contractual agreement
  • Legal obligation that Inagro vzw must comply with
  • A task that Inagro vzw must perform as a government or knowledge institution in the context of the public interest or public authority
  • Consent, if the processing is based on this

All personal data is used solely for the following purposes:

  • Professional contacts via phone, mobile, email, Teams, etc.
  • Support from the administration department
  • Services provided to your company and employees (making appointments, sharing results, advisory reports and warning messages, etc.)
  • Newsletters and information about our seminars, fairs, operations, and activities of Inagro vzw. Online communcation includes an opt-in/opt-out option.
  • Organizing training courses, study days, demonstrations, etc.
  • Target group research into methods, insights, ... through surveys.
  • Marketing and promotional purposes.

Recruitment & selection

Recruitment & selection Inagro vzw receives and processes personal data from applicants for the purpose of recruiting new employees.

The data collected includes ‘General Identification Data’ supplemented with additional information that is standard on a Curriculum Vitae.

This processing is based on the consent of the candidate employee on the one hand and our legitimate interest in recruiting the right candidate for a position on the other.

Inagro vzw will always ask for your consent to keep your data for future vacancies that may be of interest to you and match your profile.

How long do we retain your data?

Data is retained for as long as necessary to provide our services. Furthermore, as a data subject, you may request that your data be deleted earlier, without however violating the statutory retention periods.

With whom do we share your data?

We never sell or rent your data to individuals or companies that are not part of Inagro vzw.

If Inagro vzw uses an external data processor (suppliers, partners, subcontractors, etc.), we will always ensure that your data is treated confidentially and used in a secure manner. The external data processor will always be contractually bound to Inagro vzw.  This means that data processors will never be allowed to use your personal data on their own initiative.

Other government agencies may have an authorization or GDPR-compliant protocol to request data from us. More information about these authorisations and protocols can be found on our website.

Inagro can make data available through the data-sharing platform DjustConnect.
If the farmer is (co-)owner of this data, their consent will be requested.
Through their personal dashboard on DjustConnect, the farmer can give consent and view which data is involved and which parties are connected.

Events, demonstrations, fairs, study days

Inagro regularly organises events such as consultations, seminars, demonstrations and fairs, sometimes in collaboration with external partners. We need your data to organise these events. We therefore also use your personal data to invite you to these activities, usually via your email address but possibly also in writing.

After an event, we sometimes use your data to send you documentation, photo reports, satisfaction surveys, etc.

Participant lists

If you participate in these events, your surname, first name and organisation will be shared with the other participants of the event, if this contributes to the organisation and success of the event. We do this, for example, at events that are specifically aimed at networking and establishing contacts.

Promotion, photos, and images

We take photos and films on various occasions. Our employees do this themselves, or we use professional photographers for this purpose. We use these photos and films for promotional purposes, i.e. to raise awareness of our activities. Permission will be requested when taking portrait photos.

Photos and films are processed via our media database. Employees of our “Communication and Marketing” department have exclusive access to this media database and can use the material in the context of their assignments. This also means that they can publish this material via our website, social media and printed matter. In addition, photos and images may be provided to other local authorities and (project) partners, but this is done under strict conditions and only for purposes that are in line with the mission of Inagro vzw.

Other Government Authorities

Inagro vzw is also a partner in numerous European projects. The realization of these projects often requires the sharing of personal data with project partners. As they also belong to the EU, they also apply the European General Data Protection Regulation (GDPR).

Inagro vzw values the secure and careful handling of personal data within projects. For each project, clear agreements are made regarding data sharing, roles (such as data controller or processor), and security measures. Personal data is collected and processed solely for specific purposes within the project and is not retained longer than necessary. External partners who have access to shared data are informed of their obligations and, if necessary, processing agreements are concluded.

We do not share your personal data with third parties, except in the following cases:

  • You provide us with written consent;
  • We are legally obliged to do so;
  • It's requested within the context of a legal investigation.

Access by third parties

In order to process your personal data, we grant access to your personal data to our employees. We guarantee a similar level of protection by establishing a contractual agreement between Inagro vzw and the employee. Employees are obliged to treat the data with discretion and only have access to the data they need to perform their job. Inagro vzw employees are required to follow our GDPR awareness training and to keep their GDPR knowledge up to date.

Social media

Inagro vzw has a company page on LinkedIn and Facebook, among others, to inform you about our services, current topics, events, working at Inagro vzw, etc. You are free to follow Inagro vzw on these social media platforms or not.

Automated processing & profiling

Inagro vzw does not engage in profiling, nor does it carry out fully automated processing of your personal data.

How do we secure your data?

Inagro vzw takes the necessary technical and organisational measures to guarantee the security of your personal data.

Inagro vzw has made every effort to implement security measures in its network and information systems to prevent unauthorised access and to safeguard the confidentiality of the personal data and company data of its members, farmers, customers, suppliers, subcontractors, employees, etc.

Organisationally, we have a privacy statement and clear responsibilities and accountabilities. We also have the necessary processes and procedures in place to optimally implement and monitor this policy.

What are your rights and how can you exercise them?

As a data subject, you have certain rights, and Inagro vzw strives to ensure that you can exercise them easily:

  • Right to information: you have the right to know what information we collect from you, why we do so, how we process your data, etc.
  • Right of access: you may view your personal data at any time.
  • Right to rectification: you have the right to correct and/or supplement your personal data.
  • Right to erasure/right to be forgotten: you may request that we erase your personal data.
  • Right to restriction of processing: your personal data may not be processed or modified (temporarily_.
  • Right to data portability: you have the right to request your personal data (a copy). Additionally, you may ask us to transfer your data directly to another organization.
  • Right to object: you may object to the processing of your personal data for direct marketing purposes.

Please note that not all of these rights can be invoked without further ado. In the event of a refusal, Inagro vzw will always explain why we cannot comply with your request.

For photos and images, you can approach the organiser or photographer at the time and indicate that you do not want to be filmed or photographed. If a photo or film is published in which you are recognisable and you want to have this publication removed, simply send your request by email to privacy@inagro.be. Please remember to mention which photo or film you are referring to and where you saw it. We may request additional information to verify that your request is legitimate.

You can also exercise your rights by contacting us by email at privacy@inagro.be or by letter to Inagro vzw, attn Privacy Officer, Ieperseweg 87, 8800 Rumbeke-Beitem. These rights can be exercised free of charge by submitting a clear request via our email address above. This request must state which right you wish to exercise, with the necessary explanation, a copy of your identity card (make sure your photo and national registration number are illegible) and how we can contact you. Once we are both satisfied with the answer to your question, we will destroy the copy or scan.

Where can you go if you are not satisfied with how we handle your personal data?

Inagro vzw has a Data Protection Officer (DPO) who oversees the organization’s data processing activities related to personal data. We do our utmost to handle your personal data correctly. However, if you are dissatisfied with our approach or have questions for our DPO, you can always contact us at privacy@inagro.be.
